• Guest Data: Guest names, check-in/check-out dates, room assignments, service requests — for front-desk operations.
• Authentication Data: Login credentials, session IDs, IP addresses, timestamps — for security and access control.
• Proof-of-Work Media: Task verification photos, cleaning confirmations — for operational verification.

2. How We Use Your Data

We use your data exclusively for:

• ✅ Providing and operating the Hotel Friendly platform
• ✅ Managing hotel operations (rooms, staff, front-desk, tasks)
• ✅ Sending real-time push notifications for task alerts and requests
• ✅ Maintaining security and preventing unauthorized access

3. How Long We Keep Your Data ⭐ CRITICAL ⭐

• Trial Data (rooms, staff, guest info, operations) — 20 days from trial activation, permanently deleted upon trial expiration.
• Authentication Logs — 20 days, then automatically purged.
• Proof-of-Work Media — Temporary, subject to automated lifecycle deletion.
• Session Cookies — Until browser/app session ends.
• Infrastructure Backups (Railway Hobby Plan) — Up to 60 days after cancellation as per platform policies.

4. Where We Store Your Data

All data is hosted on Railway cloud infrastructure.

⭐ Data may be stored on servers located outside your country of residence. By using Hotel Friendly, you explicitly consent to cross-border data transfer.

• For hotels in India: Under the DPDP Act, you acknowledge that your data may be processed outside India and consent to such transfer.
• For hotels in California (USA): Under CCPA/CPRA, you have the right to know where your data is stored and request deletion.

5. Who We Share Your Data With

We share your data only with essential service providers:

• Railway — Cloud hosting and infrastructure (Global — US/Europe/Singapore).
• Push Notification Service — Real-time alerts to hotel staff.

⭐ WE DO NOT: Share your data with advertisers, data brokers, or any third parties for marketing purposes.

6. Your Rights — Thailand, India & USA ⭐ CRITICAL ⭐

🇹🇭 Thailand (PDPA) — You have the right to: access your personal data, request correction or deletion, withdraw consent at any time, object to processing, and request data portability.

🇮🇳 India (DPDP Act) — You have the right to: access and correction of data, erasure of data when no longer needed, withdraw consent, nominate a representative, and grievance redressal — contact our Grievance Officer below.
